PEGNL Office Manager

Professional Engineers and Geoscientists Newfoundland and Labrador (PEGNL) regulates the engineering and geoscience professions in the public interest in accordance with the NL Engineers & Geoscientists Act 2008 (Act), NL Engineers & Geoscientists Regulations 2024 (Regulations) and By-Laws.
With more than 5,000 individual and 600 corporate members throughout the province, and beyond, PEGNL is accountable to the public through the provincial Department of Government Services to ensure licensed, competent and ethical practice of the professions.
One of two positions reporting directly to the Director, Finance & Administration, the Office Manager is responsible for managing daily office operations, coordinating administrative activities, maintaining office supplies and equipment, supporting staff, and ensuring an organized work environment.
Duties & Responsibilities
Specific duties of this role as required and directed by PEGNL include, but are not limited to:
Operations Management
- Provide a pleasant and welcoming professional first point of contact for the organization over the phone and in-person.
- Respond to general inquiries from members and the public, received via phone, email or in-person.
- Direct inquiries (phone, email or in-person) to appropriate staff member as needed.
- Assist applicants, members and permit holders with issues.
- Process and distribute physical mail.
- Handle courier packages.
- Procure and monitor office supplies.
- Maintain internal office environment (including the kitchen and meeting rooms).
- Coordinate and manage meeting set up (including meeting room requirements, food and beverage coordination).
Administration
- Champion the company’s values.
- Maintain records (including filing and maintenance of archives).
- Digitize office paper files.
- Provide support to the Operations Department.
Qualifications
- Minimum of 3 to 5 years of Administration experience is preferred.
- Strong oral and written communication skills.
- Strong organization, prioritization, and time management skills.
- Strong interpersonal skills.
- Comfortable dealing with members of the public.
- Computer proficiency (Microsoft Office preferred) and the ability to learn new software as required.
- Ability to effectively work within a team and independently, to review and process sensitive material with complete confidentiality.
